SMS Emergency Headcount Setup Easy, Fast, Reliable

You have an Emergency Headcount Plan (aka Mustering) for emergencies to keep people safe. Here you see how easy this is with Cloud-In-Hand® SMS Emergency Headcount setup First you import your roster or enter the roster members. Second, validate mobile phone numbers. Then create your Emergency Event in case of emergency.

Setup / Import SMS Emergency Headcount Roster

Open your Cloud-In-Hand.com admin account, and open ORGANIZATION | MEMBERS. First you’ll need 3 things for each roster member:

  • Name
  • Mobile Phone
  • Badge Number (can be pseudo – see below)

Secondly the Badge Number can be a pseudo number for people without badges or you don’t want to use badge number. The ‘Badge Number’ must be unique for all SMS emergency headcount roster members.

Next import your roster file, first tap Upload.

Then use Choose File and pick your roster file, use an XLS or CSV file, then select Upload.

Finally you use New Roster Member option to manually add/edit roster members.

Align Roster File Fields With Member Database

First your emergency headcount roster file may have different headers/fields than how you have setup your cloud-in-hand.com Member Database. Next you match the fields to import your data. Select the field, then from the drop-down select the field from the file to align the data. Here you see “Pseudo Badge Number” header of the file is aligned to “Badge” field of the Member Database.

Next after you have aligned all the headers/fields you then choose to update the current Member Database, or replace it fully with the uploaded roster. Note: you should export your current Member Database to a file to have saved copy should you use “Replace old database”. Finally select Submit to update your SMS emergency headcount roster.

Validate Mobile Numbers

The final SMS emergency headcount roster setup step is to validate the mobile numbers of roster members. Emergency headcount SMS messages are only sent to validated numbers. Use Edit option, check “Send SMS to verify” an Update

Next member gets SMS message, then responds with the validation number.
